Office Manager

On behalf of our Client, FSN Capital Partners ApS, we are looking for a proactive and team-oriented Office Manager with executive assistant responsibilities who is passionate about people, office operations, and workplace culture to join FSN’s Copenhagen office at Kongens Nytorv.

The job

You will be a pivotal part of the FSN team, acting as a key culture carrier and fostering a positive and inclusive workplace environment. You will be responsible for office operations, including tasks related to people processes, team-building activities, external events, and the special details that greatly contribute to an inspiring workplace.

This position involves the expected responsibilities and trusted duties of an executive assistant to several stakeholders. It also allows you to apply and develop your team leader skills as you will work with and head the Office Support team.

You will provide executive support to Lars Denkov, Partner & Head of Office, and Jesper Isaksen, Partner & Head of Talent, as well as limited support to two directors.

Tasks and Responsibilities

Office Manager

  • Own the office operational responsibility i.e., proactively ensure office facilities are working and supplied appropriately to meet business needs. Keep the office running smoothly. Own and manage vendors for office and maintenance issues.

  • Teaming up with the Office Support team and jointly initiating, planning, and executing fun and inspirational gatherings, e.g., the yearly Christmas and Summer party and the skiing trip. Contribute to employee engagement and foster a positive company culture.

  • Inspire and motivate the Office Support team to excellence daily while handling the team’s day-to-day management. Handle annual leave, monitor absence, and arrange cover.

  • Contribute, initiate, and collaborate on planning and implementing the annual wheel activities, which help hold a team together socially and culturally and reinforce team cohesion. Build a high level of visibility across the business and be a trusted partner.

  • Ensure that office operation satisfaction targets are met and exceeded. Seek continuous improvement feedback and introduce and communicate processes to streamline per best practice.

  • Prepare and maintain office operations budget and liaise with Finance on the follow-up.


Executive support

  • Provide holistic and integrated day-to-day executive support to Lars and limited support to Jesper, including analytical calendar management and meeting coordination. Proactively prepare for both short-term and long-term priorities. Efficiently manage time and changes.

  • Occasional admin support to two directors within a dedicated time division ratio.

  • Coordinate travel from A to Z. Ensure all aspects are well prepared for travel, meetings, and events. Be available as an emergency lifeline to support and handle travel changes.

  • You make sure to know evolving priorities and itineraries for your stakeholders. You proactively follow through behind the scenes in furtherance of these.

  • Continuously build and nourishexcellent relationships at multiple levels through liaison with investors and portfolio companies’ stakeholders.

  • Plan and facilitate all-hands Copenhagen office meetings, fostering a positive workplace culture. Collaborate with Lars and colleagues on content and materials. Manage logistics and ensure AV equipment and technical setup are prepared for efficiency.

  • Handle ad hoc administration, including completing expense reports.

  • Maintain and protect business-critical confidential information.

Qualifications

  • At minimum a bachelor’s degree with some years of senior management administrative support experience.

  • Must have excellent verbal and written English communication skills.

  • High level of emotional intelligence, with the ability to adapt and support rapidly changing priorities.

  • Impeccable integrity and diligence. Strong presence and personal presentation skills and a confident and accommodating personality.

  • Stellar references and a proven track record of high performance.

  • Digitally savvy in ways of working in daily tasks and operations.
