The Opportunity

On behalf of our client, we seek a top-notch Executive Assistant (EA) to support one of the Partners at Heidrick & Struggles, a leading global executive search firm specializing in headhunting and placing transformative business leaders globally.

The EA we are looking for will work in central Copenhagen and provide project and business administration support to Jan Norgaard Lauridsen, Partner and member of the Industrial Practice and global sector head of maritime.

In this unique position, you will gain insight into the top management of the largest Danish and international corporations. As a crucial search team member, you’ll help maintain an overview of timelines and deliverables, ensuring seamless collaboration and project execution. Daily, you’ll communicate with clients and candidates, bridging gaps and making connections to drive success.

Tasks and Responsibilities

As an Executive Assistant at Heidrick & Struggles, you’ll play a pivotal role in shaping the future of businesses. Here’s how you’ll make an impact:

  • Manage administration and operations for the Partner, providing holistic and integrated day-to-day support. Be the ultimate calendar keeper: Maintain the Partner calendar, skillfully juggling priorities to ensure seamless scheduling and optimal productivity.

  • Project manage the search processes: Take charge of the administration of all search assignments, ensuring a smooth and efficient experience for clients and candidates alike. Master the timeline and the deliverables.

  • Craft impeccable client deliverables: Showcase your attention to detail by preparing, proofreading, and transmitting top-quality documents that leave a lasting impression.

  • Help prepare, support, and join quarterly client meetings with key account(s).

  • Orchestrate seamless travel experiences: Arrange travel itineraries for the Partner, clients, and candidates, making every step of the search process as smooth as possible.

  • Support the financial process: Assist with account management, including consultant and candidate expenses, client invoices/receivables, and other light financial reports.

  • Proactive communication: Efficiently schedule and prioritize telephone and email communication, keeping clients and candidates connected and informed.

  • Uphold the highest confidentiality standards: Maintain discretion and protect sensitive information, ensuring the trust of clients, candidates, and colleagues.

  • Be available as an emergency lifeline to support and handle travel changes and emergencies.

  • Help build company culture throughout the organization in an engaging and meaningful way. Develop and maintain effective working relationships. Contribute to the team and office by providing backup assistance to other EAs. You will be part of an EA team consisting of six EAs.

  • Serve as the project partner with the Partner on Heidrick’s global Consultants Promotion Committee processes.

  • Proactive inbox management. Screen and research incoming issues that need more background and identify urgent Partner action.

  • Proactively help manage the Partner’s external relationships. Take note of, capture information, and set reminders for key stakeholders’ anniversaries, birthdays, and important life milestones. Create and maintain a VIP list of people and remind the Partner when to reach out, call, email or send a thank you note.

Qualifications

  • 5+ years of experience as a personal/executive assistant supporting executive-level individuals in multinational organizations.

  • Ideally, experience from a listed company or a company with high compliance standards.

  • Stellar references and a proven track record of high performance.

  • Strong presence and a confident and accommodating personality.

  • As a minimum, a bachelor’s degree.

  • Fluency in English, verbally and written. Excellent writing, editing, grammatical, organizational, and research skills.

  • Highly proficient in applying IT tools in daily tasks and operations.
