Who and what will you be a part of?
On behalf of Lundbeck, we are looking for an Executive Assistant “EA” to support the Executive Vice President for Commercial Operations.
As EA to the EVP, you will get a unique opportunity to work closely with Executive Management in an international and fast-paced environment. You will also be close to strategic decision-making and be part of a small but efficient and dynamic team of three – consisting of Jacob Tolstrup, EVP, the Senior Manager of Commercial Leadership Office and yourself. Further, you will also work closely with the Commercial Leadership Team (CLT). Your job and key responsibilities
The position is based in Copenhagen, and you will report directly to Jacob Tolstrup and be responsible for the daily administrative support. Your key responsibilities and daily tasks will be:
Manage administration and operations for the EVP, i.e., providing holistic and integrated day-to-day support. Proactively solve problems, handling the non-essential tasks and distractions that may keep the EVP from focusing on the highest priorities.
Handle the EVP’s calendar of appointments. Proactively review and prepare short-term and long-term. Ensure that the EVP is well equipped with all materials, pre-read and information timely ahead of meetings. Analytically and proactively manage time and handle changes.
Coordinate travels from A to Z. Ensure that the EVP is well prepared with all materials ahead of travel, meetings, and events.
Prepare management team meetings. Own, organise, consolidate input, build agenda, prepare content, participate and take action notes. Distribute material, and review action logs to identify follow-up activities and deadlines.
Proactive inbox management. Screen and research incoming issues that need more background, identify those that require urgent EVP action, and those that can be completed by you or others in the team.
Plan, coordinate and occasionally attend corporate events such as the Global Commercial Meeting, Sales Rep of the Year, leadership team workshops and seminars. Work and collaborate cross-functionally on content and presentations.
Liaising with many different stakeholders across the organisation and with Lundbeck’s affiliates around the world.
Creating purchase orders and review and perform cost coding/approval of invoices in SAP as well as expense management for the EVP.
Organising virtual meetings, maintain SharePoint websites on intranet for Commercial Operations.
Various ad-hoc tasks and projects proactively solve problems with little supervision or direction.
Administrative support to EVP of People & Communication, Elise Hauge (10% of your time).
Other relevant tasks
In addition, you are also expected to be able to analyse and create presentations for internal and external meetings, town halls and business reviews with input from Jacob Tolstrup and other relevant stakeholders – and in close collaboration with the Senior Manager.
You also participate in the monthly CLT meetings and support the CLT whenever needed.
Who are you?
You have a relevant background as an EA or similar position, preferably in an international environment.
You have good communication skills and are fluent in Danish and English, verbally and written.
You master Microsoft Office365 at a high level.
You have a proactive and efficient approach to assignments.
You take the initiative and are willing to take ownership and responsibility for tasks. In addition, you are service-minded, positive and have a flexible mindset.
You are a natural networker and can easily build relationships with stakeholders across the organisation.
You have exceptional organising and multitasking skills.
You are quality-conscious and detail-oriented.
You are well-structured and have the ability to meet agreed deadlines and preferably be one step ahead.
You are trustworthy and confident in managing confidential documents and information.
