Osander ApS is recruiting a Chief of Staff to support the CEO and represent the vibrant culture of Pas Normal Studios ApS.

Thought partner to the CEO

You will enhance the CEO’s impact by serving as a thought partner, managing communications, and structuring and streamlining day-to-day tasks, meeting preparations, and follow-ups. You will also serve as a program manager for cultural initiatives, including planning Town Halls and selected initiatives within the People and Culture domain along with HR and as a People & Values team member. Additionally, you will be responsible for organizing leadership off-site and other events.

Tasks and Responsibilities

CEO and Founder support

  • Manage CEO’s administration and operations: Provide comprehensive day-to-day support to the CEO, resolving issues and minimizing distractions from top priorities.

  • Calendar Management: Efficiently handle the CEO’s calendar, including short-term and long-term planning. Ensure the CEO has all necessary materials and information while managing time, changes, and deadlines.

  • Board of Directors Liaison: Attend, plan, and prepare board meetings. This includes taking minutes, scheduling invitations, locations, accommodations, speakers, catering, and travel. Additionally, manage annual board activities.

  • Teaming up with the Head of Strategy and Operations, you will work with the relevant stakeholders to develop and distribute materials, prep the CEO for board and investor meetings, and develop executive presentations.

  • Attend management team meetings to stay informed about ongoing projects and initiatives, ensuring a comprehensive understanding of the operations and CEO deliverables. Monitor and follow up on agreed-upon deadlines to ensure timely and effective communication.

  • Own and craft the monthly Town Hall agenda, meticulously preparing content and all practical and technical tasks. Diligently prepare the CEO to play a more substantial role in these meetings.

  • Elevate CEO communication cadence and reinforce the company’s strategy, vision, and mission by leveraging the CEO’s presence at Town Halls and across various communication channels.

  • Proactively support the CEO’s internal and external relationships. Maintain reminders for key stakeholders’ important dates and manage a VIP list for outreach, including calls, emails, or thank-you notes.

  • Contribute to team spirit. Be that special “cultural and social glue” and the initiator that helps hold a management team together. Plan and facilitate functional meetings, management workshops, and other events.

  • Ad hoc administration: Handle miscellaneous administrative tasks, including CEO and Co-founder expense reports.

  • Maintain and protect business-critical confidential information.

People & Values

  • Collaboratively shape and uphold the organizational culture alongside the CEO. Engage closely with both the CEO and HR on matters concerning People & Values, taking on a proactive and integrative role within the People & Values group.

  • Actively prioritize and methodically implement initiatives derived from the People Survey, ensuring that employee feedback is effectively translated into meaningful organizational improvements.

  • Work with relevant stakeholders to identify, prioritize, and implement changes to organizational practices.

Qualifications

  • Proven 3+ years of executive support as an executive assistant or similar function supporting a C-level executive.

  • Experience working within HR and organizational culture would be preferable.

  • Stellar references, a strong presence and a confident and accommodating personality.

  • As a minimum, a bachelor’s degree.

  • Fluency in English, verbally and written. Excellent writing, editing and grammatical skills.
