Who and what will you be a part of?

We are recruiting an Executive Assistant (EA) to support Lundbeck’s new EVP, People & Organisation. You will team up with the EVP’s business manager, and jointly, you will support the EVP in driving Lundbeck’s people strategy, support its growth journey and assist in developing the organization further. 

You will be close to strategic decision-making and organize meetings and events. You will work with different tasks, and we can guarantee that no two days are alike.

Further, you will have the opportunity to collaborate with a great, experienced team of EAs who support the Executive Management team and help plan and coordinate corporate events, internal and external meetings, workshops, the annual Summer and Christmas parties and many other types of meetings.

Primary Tasks and Responsibilities

  • Manage administration and operations for the EVP,e., providing holistic and integrated day-to-day support. Proactively solve problems with little supervision or direction, handling the non-essential tasks and distractions that may keep the EVP from focusing on high priorities.

  • Handle a complex, often changing calendar of appointments. Proactively review and prepare for the short-term and long-term.

  • Ensure the EVP is well-prepared with all materials, pre-reads, and information before meetings. Manage time with an analytical and proactive approach and handle changes.

  • Work in tandem with the Business Manager on various EVP activities and deliverables.

  • Coordinate travel from A to Z. Ensure the EVP is well-prepared with all materials before travel, meetings and events. Be available as an emergency lifeline to support and handle travel

  • Proactive inbox management. Research incoming issues that need more background identify those that require urgent action and identify those that you or others can complete on the team.

  • Prepare and facilitate the smooth running of recurrent People Leadership Team (PLT) meetings with the Business Manager. Plan, attend, and take action notes.

  • Lead the planning of DK People Events (Summer/Christmas party), DK Christmas gifts, annual Global P&O event and maintain the overall overview of P&O events and campaigns across the globe.

  • Plan and implement business rhythm activities, including the annual wheel activities. Manage internal administrative procedures using corporate internal systems to ensure consistency and administrative stability.

  • Proactively help manage the EVP’s internal and external relationships. Take note of and set reminders for key dates of colleagues and external stakeholders. Create and maintain a VIP list and remind when to reach out or send a thank-you note.

  • Based on your skillset and competencies, you will have the opportunity to actively be involved with the P&O Wellbeing team in various workplace improvement initiatives, such as delivering on the road map of creating a neurodiverse friendly workplace, collaborating with HSE on DK events such as walk/bike to work and brainstorm on best workplace practices.

  • Initiate and support the EVP in executing internal departmental communications opportunities in various formats, e.g., celebrating business milestones and employee performance recognition. Help build company culture throughout the team in an engaging and sustainable way.

  • On rare occasions, facilitate personal expat aspects of the EVP’s busy life.

  • Handle the administration of the office, including completing expense reports, establishing purchase orders and reviewing/coding/approving invoices through SAP.

  • Discretion and confidentiality are critical. Maintain and protect business-critical confidential information.

Qualifications

  • Proven 7+ years of experience as a personal/executive assistant supporting executive-level individuals in large multinational organisations.

  • Ideally, experience from a listed company or a company with high compliance standards.

  • Stellar references and a proven track record of high performance.

  • Strong presence and a confident and accommodating personality.

  • As a minimum, a bachelor’s degree.

  • Fluent in English and Danish, both verbal and written. Excellent writing, editing, organisational and research skills.

  • IT savvy. Highly proficient in using IT tools in daily tasks and operations.
