Office Manager

On behalf of our client, we seek a dedicated and structured Office Manager with a strong service mindset and a passion for workplace operations and culture. You will join the Copenhagen team and play a central role in ensuring a smooth, professional, and engaging environment.


The Role

As the Office Manager, you will be at the heart of the office operations, ensuring the workspace is functional, well-organised, and reflects the company’s values and culture. In close collaboration with the Office Assistant, you will ensure the smooth and professional running of the Copenhagen office, supporting a team of approximately 70 people.

You will interact with colleagues across the business daily and serve as the first point of contact for clients and guests. With a proactive, service-oriented mindset, you take ownership of daily operations, keeping everything on track, from the big picture to the most minor details.

Tasks and Responsibilities

Office Operations & Facility Management

  • With a structured and proactive mindset, you will ensure the office is welcoming, fully stocked, and ready to support the team’s daily rhythm. From opening in the morning to closing in the afternoon, you will handle the routines and atmosphere that help create a positive and productive workplace.

  • Manage relationships and contracts with all vendors for office operations and maintenance. Proactively maintain office supplies and deliveries to ensure the office is always fully stocked.

  • Manage and provide guidance and day-to-day support to the full-time Office Assistant, ensuring smooth operations of the Copenhagen office while nurturing a collaborative and positive team environment.

  • Coordinate and manage lunch arrangements, cater for meetings and events, ensure smooth day-to-day operations, and pay attention to the team’s practical needs.

  • Manage budget and invoices related to office expenses and ensure they are processed on time.

  • Print and bind presentation materials, handle IT hardware processes, and manage subscriptions.

Reception & Front Desk

  • Welcome clients and visitors as the first point of contact, ensuring a professional, organised, and hospitable daily environment.

  • Ensure meeting rooms are prepared, including setting up conference videos and catering, so meetings run smoothly and efficiently.

Onboarding & Offboarding

  • Take ownership of the onboarding and offboarding practical process and tasks by maintaining and developing onboarding plans and checklists, coordinating equipment and workspace setup, and acting as the main point of contact.

  • Share welcome emails with new colleagues and ensure the company website is updated with profiles and photos related to onboarding and offboarding.

Event Planning & Culture

  • Manage practical arrangements, logistics, catering coordination, and administrative tasks to support and assist with internal and external meetings and events, including town-halls, ministerial visits, and evening receptions.

  • Initiate, plan, and execute team-building events and gatherings in close collaboration with the COO, including the annual Christmas dinner, summer parties, Friday bars, off-sites, spouse dinners, and milestone celebrations.

  • Support with contract management and coordination related to Folkemødet, including gathering proposals and handling the practical planning.

  • Plan and implement the annual wheel activities, maintain high visibility across the business, and act as a trusted partner.

  • In general, act as the “cultural and social glue”, fostering team spirit, collaboration, and a supportive work environment.

  • Handle ad hoc administrative duties.

Qualifications

  • You have a strong passion for service, with experience possibly gained from a similar role, where providing outstanding customer care is a key focus.

  • Fluency in written and verbal Danish and strong English communication skills are required.

  • You demonstrate high emotional intelligence, with the ability to adapt seamlessly to shifting priorities, and provide support in a dynamic environment.

  • Strong presence, personal presentation, and a confident and accommodating personality.

  • Stellar references and a proven track record of high performance.

  • IT savvy and proficient in applying new IT tools in daily tasks and operations, particularly within Outlook.
