The Job

As the Office Assistant, you’ll be crucial in ensuring the seamless operation of Nordic Capital’s small Copenhagen office of 10-15 people. You will interact with your colleagues daily and be the first point of contact. You will team up with your admin colleagues across Nordic Capital’s offices, contributing to the highly collaborative culture that connects the broader team.

Your responsibilities extend beyond traditional admin duties; You will orchestrate team-building and employee engagement activities, internal and external events, plus all the small but significant details that contribute to an inspiring and supportive workplace.

Tasks and Responsibilities

  • Assuming full operational responsibility for the Copenhagen office, proactively ensuring that all facilities, including the reception area and conference rooms, are well-maintained and adequately supplied to meet business needs while creating an inviting and aesthetically pleasing environment.

  • Meeting and greeting guests and visitors as the first point of contact in the reception, ensuring a welcoming and professional atmosphere.

  • Ensuring meeting rooms are prepared in advance, including setting up conference calls and catering, that allows meetings to run smoothly and efficiently.

  • Scheduling and organizing internal and external meetings for staff and management. Handling changes to keep the team focused and on track.

  • Managing relationships with vendors for office operations and maintenance. Proactively maintaining office supplies and deliveries to ensure the office is fully stocked.

  • Managing invoices related to office expenses and ensuring they are processed on time.

  • Planning and coordinating travel arrangements for Investment Associates (“IAs”) and Investment Management (“IMs”), including transfers, flights, hotels, visas, and more.

  • Printing and binding presentation materials and handling IT hardware and subscription management.

  • Planning and implementing the annual wheel activities, maintaining high visibility across the business and acting as a culture carrier and trusted partner.

  • Initiating, planning, and executing team-building events and gatherings for the Copenhagen office, including the annual Christmas dinner, summer parties, Friday bars, off-sites, spouse dinners, milestone celebrations, and external events. Additionally, join the yearly all-staff winter conference/ski trip (last year’s was held in Canada) and the summer party in Stockholm.

  • Acting as the “cultural and social glue”, fostering team spirit and collaboration and a supportive work environment.

  • Ad hoc administrative duties.

Qualifications

  • You have a strong passion for service, with receptionist experience possibly gained from a similar Private Equity company or company from a similar industry, where providing outstanding customer care is a key focus.

  • Fluent in both verbal and written communication in Danish and English.

  • You demonstrate a high level of emotional intelligence, with the ability to adapt seamlessly to shifting priorities and provide support in a dynamic environment.

  • Strong presence and personal presentation and a confident and accommodating personality.

  • Stellar references and a proven track record of high performance.

  • IT savvy and proficient in applying new IT tools in daily tasks and operations, particularly within Outlook.
