The job
As Executive Assistant, you will act as a trusted partner to the CEO, enabling the effective execution of a dynamic, purpose-driven, and fast-paced climate agenda. You will play a central role in the CEO Office, helping to coordinate priorities, manage key stakeholder relationships, and support critical activities and initiatives.
Beyond the CEO Office, you will be at the heart of the Copenhagen office, helping to strengthen the culture and sense of community through thoughtfully planned social events, employee engagement initiatives, and inspiring team gatherings. We are looking for an Executive Assistant with a genuine interest in the business and the ability to quickly develop a strong understanding of strategic priorities, key initiatives, and stakeholder dynamics.
Working closely with colleagues across the CEO Office, you play a central role in ensuring that priorities, meetings, decisions, and activities are well coordinated and effectively executed. Through strong organisation, stakeholder coordination, and operational support, you help create structure, maintain momentum, and enable the CEO to operate with clarity, focus, and efficiency.

Your Responsibilities
CEO Support
Manage administration and operations for the CEO, i.e., providing holistic and integrated day-to-day support. Proactively solve problems and handle non-essential tasks and distractions that may keep the CEO from focusing on the highest priorities.
Manage the CEO’s calendar and meeting rhythm with structure, foresight, and good judgment. Stay ahead of changing priorities and help ensure the CEO’s time is invested in the most important short- and long-term priorities. Safeguard focus time for deep work, and anticipate preparation needs ahead of key meetings and engagements.
Ensure meeting effectiveness through clear meeting purposes, strong agendas, relevant pre-reads, and the right attendees. Protect the CEO’s time through forward-looking planning, careful prioritisation, and proactive management of shifting commitments.
Arrange end-to-end travel and keep meetings, events, and logistics well prepared. Act as a reliable point of contact when plans change and swift adjustments are needed.
Take increasing ownership of the CEO’s inbox, ensuring effective prioritisation, action management, and communication on the CEO’s behalf.
Stakeholder coordination: managing relationships with senior internal and external stakeholders, including government bodies, investors, and strategic partners.
Prepare briefing materials, presentation drafts, and background documents for meetings, conferences, and board engagements, collaborating closely with colleagues across the CEO Office and key stakeholders throughout the organisation.
Plan and attend leadership team meetings. Stay closely aligned on priorities, strategic initiatives, decisions, and actions to drive timely follow-through and provide well-informed support to the CEO.
Act as a trusted and confidential sounding board to the CEO on team dynamics, organisational matters, and day-to-day priorities, exercising sound judgment, discretion, and professional integrity.
Oversee board-related processes, including meeting preparation, materials, and logistics. Provide board members with timely information and a highly professional experience, while building strong working relationships with all relevant stakeholders.
Support key business planning cycles, leadership routines, and annual activities. Contribute to building scalable processes, governance, and administrative structure as the organisation continues to grow.
Support the CEO’s relationship management efforts by tracking key milestones, maintaining a thoughtful VIP overview, and prompting timely follow-up such as personal outreach or thank-you notes.
Occasionally facilitate personal (expat) aspects of the CEO’s busy life.
Handle ad hoc administration while safeguarding business-critical confidential information.
Culture & Team Support
Plan and deliver inspiring culture-building activities, events, and off-sites, ensuring seamless coordination of logistics, vendors, agendas, and the overall employee experience.
Foster a positive and meaningful team culture through engaging internal communications, celebrating business milestones, and recognising employee contributions.
Support employee development, performance, and feedback processes across the KIRKBI Climate team, including IDPs, review cycles, scheduling, coordination, and documentation support.
Support team wellbeing initiatives, including employee surveys and follow-up activities, helping to identify opportunities to strengthen engagement and continuously improve the employee experience.
Support employee programs, including secondments, graduate intake, and visiting fellows or specialists.
What you bring
A deep understanding of the CEO’s objectives, goals, deadlines, and deliverables, combined with a proactive approach to ensuring follow-through behind the scenes.
The ability to combine a broad perspective with careful attention to operational detail. Comfortable asking questions, gaining clarity, resolving open issues, spotting gaps, and reprioritising effectively when circumstances change.
An execution-oriented, can-do mindset and the ability to act as a well-informed representative of the CEO. A natural ambassador of the organisation’s values, culture, and brand, creating a positive impression with key stakeholders.
Excellent interpersonal and collaboration skills, combined with an assertive, diplomatic, and calm approach, and a high level of integrity and professionalism.
Highly organised, with excellent time management and project management capabilities, supported by clear systems and the composure to manage multiple priorities effectively. A natural commitment to continuous improvement.
A sense of urgency, careful attention to detail, and the ability to handle sensitive and confidential information with discretion.

Qualifications & Experience
5+ years of experience as a Management Assistant, Personal Assistant, or Executive Assistant supporting senior executives. Experience supporting C-level leaders is an advantage.
AI-savvy, with daily practical experience using AI tools to improve efficiency, optimise workflows, and enhance executive support.
Excellent references, executive presence, and a confident and approachable personality.
Fluency in both English and Danish.
A bachelor’s degree.
